Important Notice: The Halal Digital Portal is operated exclusively by IIDC. Access is strictly limited to authorised IIDC clients and internal staff. By logging in, you accept these Terms and Conditions in full.

Section 1
Scope of Application & Definitions
1.1These Terms govern all access to and use of the Halal Digital Portal ("HD Portal"), a cloud-based SaaS Document and Process Management System supporting Halal certification workflows.
1.2The Portal is operated, managed and controlled exclusively by IIDC – Islamic Information and Documentation Centre, the sole point of contact for all matters relating to the HD Portal.
1.3Key definitions:
- Service Provider / IIDC: Operating entity of the HD Portal, responsible for service delivery, data management, and user authorisation.
- Client / Customer: A company with a valid certification agreement with IIDC, granted access credentials.
- End User: An individual authorised by a Client to access the Portal on their behalf.
- Admin Account: IIDC-authorised account with elevated permissions.
- User Account: Account assigned by IIDC granting access to defined portal functions.
1.4Access is exclusively reserved for entities with a current, valid contractual relationship with IIDC. Unauthorised access is prohibited and may be subject to legal action.
Section 2
Access, Account Management & Eligibility
2.1Access is granted solely by IIDC. No third party is authorised to issue, transfer or sell access credentials.
2.2IIDC reserves the right to approve, refuse or revoke access at its sole discretion.
2.3Upon conclusion of a certification agreement, the Client will be assigned a personal User Account. Admin Accounts are issued exclusively to IIDC staff.
2.4Each Client and End User is responsible for maintaining the security and confidentiality of their login credentials. Credentials must not be shared with any third party under any circumstances.
2.5The Client must inform IIDC immediately upon:
- Any suspected or actual unauthorised access to the account
- Loss, theft or compromise of login credentials
- Any change in authorised contact persons
2.6IIDC may modify, suspend or terminate access at any time without prior notice in cases of suspected misuse, breach of these Terms, or where security may be at risk.
Section 3
Confidentiality & Data Protection
3.1All information, data, documents, audit reports, raw material assessments and certification records accessed through the Portal are strictly confidential.
3.2Clients and End Users must not disclose, copy, reproduce, transmit or share any Portal information with third parties without express written authorisation from IIDC.
3.3This obligation of confidentiality applies without temporal limitation and survives termination of the account or certification agreement.
3.4IIDC treats all Client data with the highest degree of confidentiality. Data is processed solely for certification management purposes. IIDC does not sell, rent or commercialise Client data.
3.5Data processing complies with GDPR (EU) 2016/679. Clients may request information about data held, and request rectification or deletion in accordance with applicable law.
Confidentiality Commitment: IIDC maintains strict internal access controls. Only authorised IIDC personnel with a defined operational need are granted access to Client data within the HD Portal.
Section 4
Impartiality & Integrity of Certification Processes
4.1IIDC is committed to impartiality in all certification activities as required by internationally recognised accreditation standards.
4.2No Client submission shall be used to influence, bias or compromise the objectivity of any audit, inspection or certification decision.
4.3Clients and End Users must not attempt to use the Portal in any way that could compromise impartiality, including:
- Attempting to access another Client's data or accounts
- Submitting false, misleading or manipulated information
- Attempting to influence audit outcomes through the system
4.4Any breach of impartiality obligations entitles IIDC to immediately suspend the relevant User Account and may result in suspension or withdrawal of certificates.
4.5IIDC maintains an internal Impartiality Committee that periodically reviews all processes, including digital systems, to identify and mitigate impartiality risks.
Section 5
Permitted Use of the Platform
5.1The HD Portal is provided exclusively for:
- Submitting and managing Halal certification applications
- Uploading and reviewing raw material documentation and product information
- Accessing and managing audit schedules, reports and outcomes
- Communicating with IIDC through the Portal's designated functions
- Downloading certificates and official IIDC documentation
5.2Any use beyond the scope above is strictly prohibited. Users must not:
- Use the Portal for commercial purposes unrelated to their certification
- Reverse-engineer, copy, modify or distribute any part of the Portal
- Use automated tools, bots or scripts without prior written authorisation
- Upload unlawful, offensive, inaccurate or third-party rights-infringing content
5.3IIDC reserves the right to update or extend Portal functionality at any time. Material changes will be notified with reasonable advance notice.
Section 6
Security Infrastructure & Data Hosting
6.1IIDC is committed to the highest standards of information security. The following measures are in place:

| Germany-Only Server Hosting | All data hosted exclusively on servers in Germany, subject to German and EU law including GDPR. No data transferred outside the EU. |
| 100% Green Energy Hosting | The data centre operates entirely on certified renewable (Oekostrom) energy, reflecting IIDC's environmental commitment. |
| DDoS Protection | Advanced Distributed Denial-of-Service protection ensures continuous availability and resilience against network-level attacks. |
| 24/7 On-Site Monitoring | All servers monitored on-site by technical personnel around the clock, every day of the year. |
| Encrypted Data Transmission | All data transmitted between Users and the Portal is encrypted using current industry-standard TLS protocols. |
| Access Control & Authentication | Role-based access controls restrict Portal functions to authorised users only. Multi-factor authentication may be required as directed by IIDC. |
6.2No system can be guaranteed entirely free from technical disruptions. IIDC shall take all reasonable steps to detect, contain and respond to any security incidents.
6.3In the event of a security incident affecting Client data, IIDC will notify affected Clients without undue delay and in accordance with applicable legal requirements.
Section 7
Availability & Maintenance
7.1IIDC undertakes to maintain the HD Portal with a target availability of 99% on an annual average basis, excluding scheduled maintenance and force majeure events.
7.2Scheduled maintenance will be announced via the Portal or by email at least 24 hours in advance, wherever operationally possible.
7.3IIDC is not liable for unavailability caused by events outside its reasonable control, including telecommunications failures, force majeure, or actions of third parties.
7.4IIDC provides dedicated support during standard business hours. Emergency contact arrangements are available for critical issues as notified to Clients from time to time.
Section 8
Data Management, Backup & Retention
8.1IIDC implements regular automated backups of Portal data. Clients are nonetheless encouraged to download and retain local copies of critical documents.
8.2Data submitted to the Portal remains the property of the submitting Client. IIDC processes it solely for Halal certification services.
8.3Upon termination of a Client's account, the Client retains read-only access for two (2) calendar months, after which data may be deleted in accordance with IIDC's data retention policy.
8.4Certain data may be retained by IIDC beyond termination where required by applicable law, accreditation obligations, or internal record-keeping requirements.
Section 9
Obligations of the User
By accessing the HD Portal, each User agrees to:
- Provide accurate, truthful and complete information at all times
- Keep login credentials confidential and not share them with any third party
- Log out of the Portal after each session to prevent unauthorised access
- Immediately notify IIDC of any change in contact details or authorised personnel
- Use the Portal solely for authorised purposes as defined in Section 5
- Comply with all applicable laws and regulations
- Cooperate with IIDC in any security audit or investigation relating to their account
Section 10
Liability
10.1IIDC shall not be liable for any indirect, incidental, consequential or special damages arising from the use of or inability to use the HD Portal, to the maximum extent permitted by applicable law.
10.2IIDC's liability for direct damages shall be limited to fees paid by the Client for the service period in which the damage occurred.
10.3IIDC assumes no liability for consequences of data loss attributable to the User's failure to maintain adequate local backups.
10.4Claims for damages must be brought to IIDC's attention in writing within twelve (12) months of the date the claimant became aware of the damage.
Section 11
Intellectual Property & Copyright
11.1All intellectual property rights in and to the HD Portal — including its design, structure, code, content, logos and processes — are the exclusive property of or are licensed to IIDC.
11.2No User is granted any right, title or licence beyond a limited, non-transferable, non-sublicensable right to access and use the Portal for authorised purposes during the term of their valid account.
11.3Users must not copy, reproduce, modify, reverse-engineer, decompile, distribute or publicly display any part of the Portal without IIDC's prior written consent.
Section 12
Amendments to These Terms
12.1IIDC reserves the right to amend these Terms at any time. Clients will be notified of material changes at least thirty (30) days prior to the effective date.
12.2Continued use of the HD Portal following notification of changes constitutes acceptance of the revised Terms. Clients who do not accept must notify IIDC in writing before the effective date and cease use of the Portal.
Section 13
Governing Law & Jurisdiction
13.1These Terms are governed exclusively by the laws applicable in the jurisdiction in which IIDC is registered, without prejudice to any mandatory provisions of law in the Client's country of domicile.
13.2Any disputes shall be subject to the exclusive jurisdiction of the competent courts at IIDC's registered place of business, unless mandatory law provides otherwise.
13.3Should any individual provision of these Terms be invalid or unenforceable, the remaining provisions shall continue in full force and effect. The invalid provision shall be replaced by one that most closely reflects the intended commercial purpose.
